Automation THEA: The multi-level workflow

The advanced workflow is for complex and individual automations and offers you a wide range of setting options. In your CleverReach account under Automation THEA, you can create a simple automation chain, but also design advanced workflows.
In this article, we will take a closer look at the individual modules that you can add via drag & drop onto the workspace:

Under the menu item Automation THEA on the right-hand side you will find the Multi-level workflow:

You can simply drag and drop the modules from the right-hand menu bar into the workspace. You define the sequence of the automation by connecting the modules at the points. This is what you still empty workspace looks like this: 

Each automation starts with one of five events:

Events

Newsletter subscription

The following events take place for a recipient after the recipient has registered in a specific form or all forms has registered in a specific group.

Each automation can start at the earliest 30 seconds after recipient registration.

Purchase of a product The following events take place for a recipient who is in a specific recipient list and has purchased a specific good or purchased any good.
Calendar

The following events take place daily, on a specific day of the week (recurring), in a specific calendar week, monthly or according to a list of definable days.

A calendar event is directly followed by the action [Load recipient list], otherwise the automation will not be received by will not be received by any recipient.

TAG - Event This automation starts for each recipient who has a specific tag is attached. It does not matter whether the tag was attached to the recipient by a click, integration or manually attached to the recipient. 
Abandoned Cart The event is triggered when your customer leaves the shopping cart and has not completed the purchase. This function is currently available in our Shopify and Shopware 5 plugin and can be programmed or used via Rest API. 

The first email after the five events can be sent at the earliest after 30 seconds at the earliest.

Actions

An event is followed by an action:

Import list of recipient Loads a specific recipient list or a segment from a list. Only the recipients in the segment or list will receive the following email.
Edit data Writes a freely definable value in a field of all recipients that are active at this point in this automation

Send email

Sends a specific email to all recipients who arrive at this point in the automation arrive at this point, a specific email
Delete recipient All recipients that arrive at this point in the automation are deleted from the recipient list or from all recipient lists.
Recipient activity in an email Recipient action in an email
Checks whether a recipient has performed a specific action in a specific email.

Flow controls specify the automation chain:

If function

A filter function that queries whether criteria apply to a recipient apply. The filter values are checked via the fields of the recipient are checked.

Example: The system checks whether the recipient has the value "w" in the field [gender] has the value "w".

Each recipient who fulfills the criteria continues the automation with "true". Any recipient who does not meet the criteria continues the automation with "false".

Delay Waits a certain amount of time (certain number of hours or days) days), until a certain day of the week with a time or until a certain date with a time.

Split

Divides the recipient group into two randomly selected recipient lists
Copy Copies the recipient list. All recipients run through both automation lines.
Connecting automation chains

Connects the automation to another automation in which an "input for automation chains" is available

Entry point for connections/anchors

Destination point to connect two automations. Requires a connection via "Connect automation chains"

Notepad

With the notepad, you can save important notes or remarks directly in your automation. The module has no influence on your automation and can be deleted at any time. 

Edit modules

To edit an event, an action or a flow control, move the mouse pointer over the corresponding the mouse pointer over the corresponding module. A small menu now appears above it small menu with three buttons appears:

  1. Statistics: Shows how often this automation step has automation step has been triggered recently

  2. Pen: You can edit the properties of the module here. 

  3. Paper basket: You can use this to delete this module

Copy automation

  1. At the top, next to the Save button, click on the three dots --- and click on Save copy.

  2. Define a name and a description and click on Create. The copy is located in the Automation THEA overview.
