Automated emails for different occasions, e.g. birthdays


Automated mailings are one of the most effective methods for maintaining your customer relationships and optimizing your marketing strategy. Especially on personal occasions such as birthdays, anniversaries or seasonal holidays, automated messages can significantly strengthen your customer loyalty.

Prepare recipient lists

To automatically write to your recipients for birthdays or other events with THEA, it is important that your recipient lists are prepared accordingly. You can use these date formats when importing (.xlsx file):
DD.MM.YYYY
YYYY-MM-DD

Enter the name of the field and select the data type Date as the data type;

Create segment

  1. To filter all recipients who have a birthday today, create a segment. Under Recipients, open the respective recipient list and click on Segments and Add segment.

  2. In the left drop-down menu, select the field birthday, in the middle is today (yearly) and enter a 0. Click Update & Save.
    This segment filters out all recipients who have a birthday on today's date. 

Create automation

  1. Click on Automation THEA in the menu on the left → New automation chain.

  2. Choose the Calendar event under the Simple automation chain tab. Name the chain as you wish. 


  3. Click Change on the right-hand side of the orange calendar event to specify when the mail should be sent.

  4. Select that the automation should start daily and the time as desired - then when the recipient should receive their birthday mail. 

  5. Click on the cogwheel, to select a recipient list for the automation. Select the list that contains the birthday data of your recipients. Click on the button next to Only the following segment and select the segment you have just created.

  6. Finally, select an existing email or create a new email to be sent automatically to your recipients on birthdays.
