Birthday emails offer an excellent opportunity to strengthen customer loyalty through personalized communication.
In this article, you will learn how you can easily send automated birthday greetings with CleverReach and our THEA Automation to inspire your customers individually.
Preparation (create data field and segment)
In order to automatically write to your recipients on their birthday with an automation, it is important that your recipient list is prepared accordingly.
Ideally, the recipient's birthday should be transferred during the import:
Note: Please note that CleverReach uses the American date format YYYY-MM-DD is used.
If you do not yet have a data field in CleverReach in which you can save the birthday you can find in our article Using your own data fields for more detailed information.
Quick guide to creating a new data field:
- Select a recipient list.
- Click on the tab Settings > Fields.
- Click on the New field button, enter the Name Birthday and select as the Data type Date.
To filter all recipients who have a birthday on today's date, create a segment:

- Open the respective recipient list under the menu item Recipients.
- Click on Segments and Add segment.
- Give the segment the name Birthday.
- Assign the conditions as shown in the following Screenshot:
This segment filters out all recipients whose birthday is today.
Create automation

In the menu, click on Automation THEA and on Add workflow.

Select Single-track workflow and Calendar event. Name the chain as you wish.

Click Edit, to specify when the mail should be sent.
- Select that the automation should start daily and when the recipient should receive the email.
- Click on the cogwheel, to specify which list the automation should be sent to.
- Select your recipient lists and click on Send to a segment of the list > Birthday. The automation will then only be sent to the recipients contained in this segment.
- Finally, select one of your mailings or create a new newsletter.
Please activate the automation with the slider in the top right-hand corner, so that it can start.
