Change invoice format - PDF with ZUGFeRD or XML file

CleverReach offers you the option of customizing the invoice format according to your needs. You can receive your invoices either as a PDF with ZUGFeRD standard or as an XML file. In this article, you can find out how to change the invoice format:

E-invoice (XML file - e.g. e-invoice)

An e-invoice is an electronic invoice that is available in a structured, machine-readable XML format. It complies with the legal requirements and is particularly mandatory for exchanges with public clients.

Features:

  • Pure XML format (e.g. e-invoice)
  • No visual representation - the file is difficult for humans to read. 
  • Required for invoices to authorities and public clients.

ZUGFeRD (hybrid format - PDF & XML)

ZUGFeRD combines a classic visual PDF invoice with embedded XML data. This makes the invoice can be read by both humans and machines.

Features:

  • Contains a PDF file (visually readable) and an embedded XML file (machine-readable).
  • Can be used by both companies and public authorities. 
  • Practical for companies that require both structured data as well as a classic invoice.

Change invoice format in account

    1. Log in to your CleverReach account log in.

    2. Click on the profile icon at the top right > My account.

    3. In the account overview, click on the tab Billing > Billing address.

    4. Here you can select the format in which you want to receive your invoice.
      There are three options: 
      - a PDF with ZUGFeRD standard and an additional XML file (e-invoice)
      - one PDF with ZUGFeRD standard
      - one XML file (e-invoice)

    5. Finally, click on Save. Your next You will now receive your next invoice in this selected format.

You will always receive your invoice at the e-mail address stored in your account.
Your invoice is attached to the e-mail and contains, for example, a invoice PDF and a XML file, which you can enter into your accounting system. :
